Map Fields from Form
As the Work Flow creator, you can also map fields from the form used in the task.
To do this,
Go to the form in the Forms/Survey engine.
Select the edit icon that corresponds with the question to be mapped.
Choose Manage WorkFlow Mappings from the menu.
You can choose which Work Flow or Task the field is mapped to.
The variable name is also entered on this screen.
For this example, choose the New User Setup Work Flow and click Submit.
When returning to the Work Flow, the User Name field can be inserted into the Work Flow process as the user_name-email variable. To include this variable in the SendEvaluation step, click Edit.
Insert the variable into to the Question and click Save Changes.
The user name from step 1 (SendForm) will now display in the Question box in step 2 (SendEvaluation).
Once the form has been completed by the Starting User and the email account has been created by User Defined Jane Doe, verification of the account creation needs to be sent to the Starting User. To accomplish the verification, the Email step type will be used.
Enter the step name and choose Email from the Step Type drop down menu.
Click Add New.
You, the creator, can customize the email message that is sent out. Select an option from the To menu and enter a title and body. The user_name-email variable will be used again so the recipient will know which account has been created.
When this information has been entered, click Create Step >.
All steps for the Email Account task have now been created. More steps can always be added at a later date.
Click Finish Task >.
If no more tasks are to be included in the New User Setup Work Flow, click Finish Work Flow >. More tasks can be added at a later date.
